Who is responsible?

What we collect and why

We collect the contact details and preferences you provide so we can respond and plan the proposed pilot. Learner enquiries include postcode, confirmation of age 19+ and Coventry residence, preferred times, and computer, connection and confidence information. Tutor enquiries include the role, location, availability and relevant experience you choose to share. Partner enquiries include organisation details and objectives. We also keep the enquiry reference, source of the website link, follow-up notes and permission records.

Submitting an enquiry is voluntary. We need the required fields to respond and assess the appropriate next discussion. We do not request identity documents, National Insurance numbers or medical information at this stage. No automated decision admits a learner, awards funding or appoints a tutor.

Your choices

We use your permission to store and respond to your expression of interest by the contact method you choose. Optional Zoho contact management and optional future UK training emails have separate choices. Declining either optional choice does not prevent you from enquiring. You can withdraw permission by emailing or messaging us; this does not affect processing already carried out lawfully. We may retain a minimal record where needed to respect your withdrawal or meet a legal obligation.

Access and sharing

Authorised SIT staff use a private inbox to manage enquiries, supported by our website hosting and communication providers. If you give the optional permission, staff may transfer your enquiry to Zoho for managing the discussion. This does not subscribe you to a mailing list. A referral to a funding or delivery organisation is discussed with you first, including what will be shared and why. Please use your own details rather than submitting someone else's learner or staff information.

If you choose WhatsApp, your conversation also uses WhatsApp's service and privacy arrangements. Before a new provider or overseas transfer is used for your Coventry enquiry, SIT must review the applicable data arrangements and provide any additional transfer information needed. You can request information about the providers and safeguards relevant to your enquiry.

How long we keep information

We keep an enquiry while its discussion is active, and review closed or inactive expressions of interest after six months. Information is deleted or anonymised when it is no longer needed, unless there is a documented contractual, legal or dispute-related reason to retain it. Any future funded enrolment or staff appointment will have its own information and retention requirements, explained at that stage.

Access, correction and withdrawal

You can ask to access or correct your information, withdraw permission, request deletion or restriction, or ask about portability where it applies. You can object to direct marketing at any time. Contact us using the details above and include your enquiry reference if you have it. We may need to verify that the request is yours. You can also raise a concern with the Information Commissioner's Office.
